If you are planning your next trade show, you likely want a high-impact display to stand out from the crowd. One of the most effective ways to do this is with an LED video wall. However, before you sign a contract, it is essential to understand the budget requirements. So, how much does a video wall booth rental cost?
On average, a video wall booth rental for a standard trade show typically ranges from $20,000 to $45,000 for the duration of the event. However, for large-scale or custom “double-deck” booths, prices can exceed $80,000
Cost Breakdown by Booth Size
The total price is heavily influenced by the size of the display and the complexity of the booth kit. Below are the typical starting price ranges for common configurations:
10×10 Booth Starter Kits: These smaller setups usually range from $20,000 to $25,000. They provide a focused focal point for smaller exhibition spaces.
10×20 Inline Video Walls: For a medium-sized footprint, expect to pay between $25,000 and $40,000. These often include more seamless integration with the booth structure.
20×20 Island Displays: Larger island booths with extensive video tiling typically start at $45,000 and can quickly climb depending on whether the wall is single or double-sided.
Key Factors That Influence the Price
To get an accurate quote, you must consider several technical and logistical variables.
1. Pixel Pitch (Resolution)
Pixel pitch refers to the distance between the center of each LED cluster. A lower number (like P1.5mm) means higher resolution and a higher price. For most indoor trade shows where attendees are standing 10–15 feet away, a P2.5mm or P3.9mm pitch is a cost-effective standard. However, our company has only been using P1.9mm, higher resolution video walls since 2025.
2. Labor and Logistics
A significant portion of your budget will go toward professional services. This usually includes:
Setup and Teardown: Shipping heavy LED panels and rigging them safely requires a skilled crew. Labor can add $1,000 to $2,500 to the total.
Drayage: Convention centers charge fees based on the weight of the equipment being moved from the loading dock to your booth. Drayage is also called material handling. Of course, with our turnkey service our rental price includes everything except what the show charges you for.
3. Video Processing and Content
You cannot simply plug a laptop into a video wall. You will need a video processor or media server, which typically rents for $500 to $3,000. Of course, our company includes that in the rental cost. Furthermore, the quality of your content matters; high-resolution motion graphics may require additional investment in a creative agency. Naturally, we can help with all of that!
Tips for Managing Your Rental Budget
Book Early: Last-minute rentals often incur “rush” fees and higher shipping costs.
Check Venue Power: Smaller LED walls will require a single 20 amp outlet. Of course, we will let you know exactly how many outlets your booth will need and where they should be placed. Ensure your booth package includes the necessary electrical drops to avoid onsite surcharges from the convention center.
Bundle Services: Many vendors offer discounts if you bundle the video wall with lighting, audio, or flooring.
By understanding these costs upfront, you can maximize your ROI and ensure your brand makes a lasting impression on the trade show floor.
